Privacy Policy

This Privacy Policy explains how Rightway LLC (doing business as Mei; "we," "us," or "our") collects, uses, and protects information when you visit meihq.com, call a phone number answered by our AI receptionist service, or receive an SMS message from a business that uses Mei.

Mei is an AI phone receptionist used by small businesses to answer their incoming calls in English, Mandarin, and Spanish. This policy covers the information we handle in the course of providing that service.

1. Information we collect

From callers

When you call a phone number answered by Mei on behalf of a business, we collect:

  • Your phone number (the caller ID delivered with the call).
  • Call metadata: the date, time, and duration of the call, and the language(s) detected during the conversation.
  • A text transcript of what was said during the call, generated in real time by speech-to-text software.
  • An audio recording of your call, retained so the business owner can review what was said (speech-to-text is not perfect; the recording is the ground truth when the transcript is unclear). The greeting Mei plays at call start includes a recording disclosure.
  • Any information you volunteer: your name, the service you're asking about, an appointment time, or a message you'd like passed along to the business.

From business owners (our customers)

When a business signs up for Mei, we collect the information needed to operate the service for them: business name and address, hours of operation, staff names and schedules, services offered, prices, the owner's name and contact details (email and phone), and billing information processed by our payment provider.

From visitors to meihq.com

The marketing site at meihq.com is a static page. We do not use cookies, analytics tracking, advertising pixels, or any third-party scripts on the landing page. Our web server records standard request logs (IP address, requested URL, timestamp, user agent) for security and operational purposes; these logs are retained for no more than 90 days.

2. SMS messaging program

Mei sends SMS messages on behalf of the business you called. There are two situations where an SMS is sent:

  • To you, the caller: when you explicitly request information during your call ("can you text me the address?"), Mei sends that information by SMS to the phone number you called from. Consent is captured verbally on the same call.
  • To the business owner: when your call results in a message, callback request, or booking that the owner needs to know about, Mei sends an SMS notification to the owner's phone. The owner consented to this when signing up.

Mei does not send promotional, marketing, or unsolicited messages. No SMS is ever sent to a phone number that did not first initiate a call to a Mei business.

Message frequency is variable and depends on call activity — typically zero to a few messages per call. Message and data rates may apply depending on your carrier and plan.

Reply STOP to any message to opt out of further SMS from that business. Reply HELP for assistance, or reach us through our contact form.

3. How we use information

  • To answer the call, understand what you're asking, and respond in your language.
  • To send the SMS you requested (e.g. an address) back to your phone.
  • To notify the business owner of messages, callback requests, and bookings.
  • To let the business owner review what was discussed on their line.
  • To monitor quality, debug issues, and improve the service.
  • To comply with legal obligations and enforce our terms.

We do not use call transcripts or caller information to train general-purpose AI models. Transcripts are used only to operate the Mei service for the specific business you called.

4. How we share information

We do not sell your personal information. We do not share it with third parties for their own marketing or advertising.

SMS opt-in and consent. Mobile information — including SMS opt-in data, consent, and the phone numbers collected to send text messages — will not be shared with or sold to any third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent will not be shared with any third parties under any circumstances. The phone numbers and consent used to operate the Mei SMS program are used only to deliver the messages described in the SMS messaging program section above and are never repurposed, rented, or transferred for marketing.

We share information only with:

  • The business you called. The owner of the business can see the transcript, your phone number, and any details you volunteered. This is the whole point of the service.
  • Service providers that help us operate Mei (listed below), under contracts requiring them to protect the information and use it only on our behalf.
  • Legal compliance: when required by valid legal process, or to protect the rights, safety, or property of Mei, our customers, or the public.

Service providers (subprocessors)

  • Twilio — telephony carrier (call delivery and SMS).
  • Vapi — voice agent orchestration.
  • Deepgram — speech-to-text transcription.
  • Anthropic — language model that generates Mei's responses.
  • Cartesia — text-to-speech voice synthesis.
  • OVHcloud — server hosting (United States and France data centers).

5. How long we keep information

  • Audio recordings: retained for one (1) year, then automatically purged.
  • Call transcripts: retained for one (1) year, then automatically purged.
  • Call metadata (date, time, duration, caller phone, language detected, outcome): retained for the life of the business account that received the call.
  • Web server access logs: retained for no more than 90 days.
  • Information needed for billing, accounting, tax, or legal compliance: may be retained longer where required by law.

Information about the business itself (account profile, staff list, hours, prices) is retained for as long as the business has an active account, and is deleted within 30 days after account closure unless a longer retention period is legally required.

6. Security

We use industry-standard safeguards to protect the information we hold: TLS encryption in transit, encryption at rest for the database, restricted administrative access, and secrets stored outside source control. No system is perfectly secure; if we discover a breach affecting your information, we will notify you and the appropriate authorities as required by law.

7. Children

Mei is a business-to-business service intended for adult customers and the adult callers of those businesses. We do not knowingly collect personal information from children under 13. If you believe we have, please contact us and we will delete it.

8. Your California privacy rights (CCPA / CPRA)

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, gives you the following rights with respect to your personal information:

  • Right to know what personal information we have collected about you, the categories of sources, the purposes for collection, and the categories of third parties with whom we share it.
  • Right to delete personal information we have collected from you, subject to certain exceptions.
  • Right to correct inaccurate personal information we maintain about you.
  • Right to opt out of sale or sharing of personal information for cross-context behavioral advertising. We do not sell or share personal information for these purposes — there is nothing to opt out of.
  • Right to limit use of sensitive personal information. We do not use sensitive personal information for purposes that trigger this right.
  • Right to non-discrimination: we will not deny you service, charge you a different price, or provide a different level of quality because you exercised any of these rights.

To exercise any of these rights, submit a request through our contact form. Include enough information for us to verify your identity — for account holders, the email associated with the account; for callers, the phone number you called from and the approximate date of the call. We will respond within 45 days. You may also designate an authorized agent to make a request on your behalf; the agent must provide written proof of authorization.

Categories of personal information collected in the past 12 months: identifiers (phone number, name when volunteered), commercial information (appointment requests), electronic activity (call transcripts and metadata), and geolocation only to the extent a caller volunteers their location verbally. We do not knowingly collect any of the other categories enumerated in Cal. Civ. Code § 1798.140.

9. Changes to this policy

We may update this policy from time to time. When we do, we'll change the "Last updated" date at the top. For material changes, we'll notify account holders by email. Your continued use of the service after a change takes effect constitutes acceptance of the updated policy.
